Call tracking CRM for car and two-wheeler dealerships

A showroom runs two phone desks — sales chasing enquiries to delivery, and service calling owners back for their next visit. Diallogs is automobile dealership call tracking and a car dealership CRM in one Android app: every call from a consultant's own phone lands on the right customer, with model, test drive date and next service due beside it. From ₹125 per license per month.

One showroom, two calling desks

Walk into most car or two-wheeler showrooms in India and the phone work splits cleanly in two. The sales desk handles enquiries — walk-ins who left a number, website forms, Meta ad leads, and manufacturer and portal leads that arrive in batches. The service desk handles owners — first free service, periodic service due, motor insurance renewal, the feedback call a week after delivery.

The two desks fail in different ways. Sales loses customers fast: a buyer who test drove on Saturday and heard nothing by Monday is often booking a rival brand down the road. Service loses customers slowly: an owner who was never reminded about their second service drifts to the local garage, and the dealership stops hearing from them for good — along with the parts, labour, insurance and eventual exchange that came with them.

Both failures look the same from the manager's cabin: nothing. A call never made leaves no trace — that is the gap call tracking closes.

The sales desk: enquiry to delivery

How a dealership would map its sales journey onto lead statuses. Statuses are fully custom and colour-coded, so these names are a starting point, not a fixed pipeline.

  1. 01

    Enquiry captured

Walk-in, website, Meta lead form, or a manufacturer or portal lead. Each becomes a lead with an auto-incrementing lead code, the model the buyer asked about, and a consultant assigned.

  2. 02

    Test drive booked

The consultant confirms a slot on a call from their own number and fills the test drive date. The call is logged against the lead automatically, whether dialled from Diallogs, contacts or the native dialler.

  3. 03

    Test drive done

Status moves on and the reminder date is set for the next day. This is the stage where most dealership leads quietly die — see the next section.

  4. 04

    Quotation shared

On-road price, accessories, any scheme discussed. Notes on the lead record what was quoted so the next person to call does not quote something different.

  5. 05

    Finance and exchange evaluation

A finance or exchange executive is added to the same lead alongside the consultant. Both see the full call history; neither has to ask the customer to repeat themselves.

  6. 06

    Booking and delivery

Booking amount received, delivery date fixed. After delivery the lead does not close — it moves to the service desk with a next service due date set.

The 48 hours after a test drive

A test drive is the most expensive moment in the sales cycle: forty minutes of a consultant's time, a demo vehicle, and a customer as warm as they will ever be. The next two days decide most of the outcome — and they are usually left to memory.

A Monday-morning check a sales manager would run

Filter leads with status Test drive done and a test drive date in the last 48 hours. Open each one and the call history shows straight away whether the consultant called back, how long the call lasted, and whether it connected.

Calls that went out and never connected show up in Not Picked By Client; leads nobody touched at all show up in Never Attended. Neither depends on the consultant remembering to report it.

Response time matters even earlier for ad leads, as why paid ad leads go cold so quickly explains.

What a car dealership CRM has to hold

A generic lead form has name, phone and notes. A showroom needs the fields its consultants actually talk about. Diallogs custom fields come in nine typed field types, and values are stored typed — numbers as numbers, dates as dates — so you can filter on them.

FieldTypeWhy the desk needs it
ModelDropdownKeeps names consistent so you can see enquiry volume per model
VariantTextBase, mid or top trim — changes the quotation entirely
Fuel typeDropdownPetrol, diesel, CNG, electric — often decides the variant
Exchange vehicleCheckboxFlags leads that need the exchange executive added
BudgetNumericFilter buyers above or below a price band
Test drive dateDate pickerDrives the 48-hour follow-up list
Next service dueDate pickerDrives the service desk calling list

These sit on top of the standard lead record — name, phone, email, tags, notes, status and reminder date — inside the lead management CRM. A used-car dealer might swap model and variant for make, year and kilometres driven; the field builder does not care which.

The service desk: where repeat revenue lives

A car sold once can bring the dealership back service, insurance and eventually an exchange for a decade — if someone keeps calling the owner. These are the calling lists a service team would run.

Free-service schedule

First, second and third free services fall due by date or kilometres. Set next service due at delivery and the service advisor gets a dated list instead of a register to scan.

Periodic service due reminders

Once the free services end, the reminder date on each owner triggers the paid-service call. Service reminder calls are where the local garage competes hardest, so missing one costs the most.

Motor insurance renewal

Policy expiry stored as a date field means the team can call owners a few weeks ahead of the renewal, from a number they already recognise.

Post-delivery feedback calls

A call a few days after delivery catches a rattle or a missing accessory before it becomes a bad review. The call and its notes stay on the customer for the service team to see.

These are illustrative workflows showing how the product fits a dealership. Diallogs is used across distribution, retail, ed-tech and HR teams — book a demo and we will map your own sales and service process, not a generic one.

Navratri to Diwali: when enquiries outrun the floor

Festive season is when a showroom takes its most enquiries and loses its most leads. Between Navratri, Dhanteras and Diwali, Meta campaigns run hot, walk-ins double, and consultants spend the day on the floor doing deliveries. The leads that arrived by form at night are the first to go uncalled.

Leads arrive without anyone typing them. The Meta lead ads connector pulls each form submission in as a lead, with fields mapped per form — so a festive offer form and a test drive form can map differently.

Nothing sits unseen. The Never Attended report lists every lead no one has called even once. Checked twice a day in festive weeks, it shows exactly where the backlog is, and bulk reassign moves those leads to whoever has time.

Calling goes faster. The auto dialler works through a consultant's assigned lead list one call after another on their own SIM, so nobody is copying numbers off a sheet. The consultant speaks to every customer — the dialler only places the call, with no AI or recorded voice. It dials one call at a time — this is a telecalling dialer app for a person working a list, not a call-centre system.

For why the uncalled lead is the costliest one, see how leads leak between pipeline stages.

Holding consultants to what they promised

Employee Performance per consultant. The Employee Performance report breaks calling activity down per sales consultant, and exports to CSV with whatever filters are on screen. A manager can see who is following up after test drives and who is waiting for walk-ins.

Reviewing quotation and discount promises. Disputes at delivery are usually about what was said on the phone — an extra discount, free accessories, an exchange value. With the call recording add-on (₹125 per GB per license, on top of call monitoring), recordings attach to the lead and can be played back. Recording is handset-dependent, as some phone brands block it at system level, so test your consultants' exact models first. Recording consent and compliance are the dealership's responsibility.

Personal calls stay out of it. Consultants on dual-SIM phones can turn tracking off for their personal SIM and keep it on for the work SIM. Calls still log when mobile data drops on the workshop floor, and sync when the phone reconnects.

Common questions

What does a CRM for car dealership calls actually do?

A CRM for car dealership calls logs every call a sales consultant or service advisor makes or receives and attaches it to the customer's lead record, along with model, variant, test drive date and stage. Diallogs does this from each person's own Android phone and SIM, so the showroom gets a complete call history per customer without new numbers or desk phones.

Can Diallogs work as a test drive follow-up app?

Yes. Each lead carries a reminder date and a status you define, such as Test drive done or Quotation shared, and a test drive date custom field stored as a real date. A sales manager can filter for every test drive completed in the last two days and see from the call history which of those customers has not been called back yet.

Is it suitable as a two-wheeler dealer CRM for service reminder calls?

It suits two-wheeler showrooms as well as car dealerships, because the service desk needs the same things: a next service due date on each customer, a reminder date to trigger the call, and a record of whether the call connected. Custom fields hold registration details and service dates as typed values, so the service team can filter for every vehicle due in the coming fortnight.

Can an automobile showroom CRM pull in Facebook and Instagram leads automatically?

Diallogs has a Meta lead ads connector: you choose the Facebook page and lead form, map each form field to a lead field, and new enquiries arrive as leads ready to be assigned. Manufacturer and portal leads can be brought in by CSV import, which matches on the last digits of the phone number so the same buyer is not created twice. There is no prebuilt connector to manufacturer or portal systems.

How much does auto dealer call tracking cost?

Call tracking and monitoring is ₹125 per license per month on the Basic plan, and lead management with custom fields and statuses is ₹250 per license per month on Basic with Leads. Call recording is an add-on at ₹125 per GB per license and depends on the handset model. There is a 30-day free trial for up to 5 licenses with no credit card, and yearly billing saves 7%.
