A recruiter's day is two hundred phone calls
Take a recruiter filling forty warehouse picker roles for a client in Bhiwandi. Monday morning starts with a job portal export of six hundred applicants. By lunch they have screened ninety on the phone — experience, current CTC (annual salary package), notice period, can you reach the site by 8 a.m. Twenty-five get an interview slot for Wednesday. Tuesday evening, all twenty-five need a reminder call. Wednesday, eleven turn up. The other fourteen need to be chased, and half of them have stopped answering.
Then the offers go out and the calling starts again: documents, the night-before-joining call, the joining-day call, and the call to the client's HR manager explaining why the batch is short. A white-collar desk runs lower volumes but the same loop, stretched over sixty or ninety days of notice period.
In recruitment the "lead" is a candidate, and almost every stage change happens on a call. If those calls live only in personal call logs, the agency has no idea which of its six hundred applicants were actually contacted — and neither does the recruiter, by Thursday.

Decide what a repeat applicant means
Candidates apply twice: to two roles, from two portals, or a month apart. Duplicates are matched on the phone-number suffix, so +91 and bare 10-digit numbers line up. Skip them to keep the existing record, or update matched records to refresh CTC and notice period from the newer export.

Split the shortlist across recruiters
Assign candidates in bulk — by role, by city, or in batches of a hundred. A candidate can have more than one recruiter, which suits a sourcer and a closer sharing a profile.

Run the screening round
The auto dialler works through each recruiter's assigned list one call after another on their own SIM. Nobody types numbers. Between calls the recruiter updates the status, fills the screening fields and adds a note while the conversation is fresh.

Custom fields are where screening data lives. Diallogs offers nine typed field types, and a recruitment desk typically uses a handful: experience in years as a numeric field, current CTC as numeric, notice period as a dropdown (immediate, 15, 30, 60, 90 days), interview date as a date picker, location and role as dropdowns. Because values are stored as numbers and dates rather than free text, you can filter for "three or more years, notice of 30 days or less, interview this week" instead of scrolling a spreadsheet.
Interview-day calls and the no-show problem
Every recruiter knows the pattern. A candidate is keen on the screening call, confirms the interview, then does not pick up the reminder call the evening before. They have usually taken another interview or offer and would rather not say so. The same thing happens a month later on joining day.
So treat the reminder call as process, not courtesy. Set the reminder date when the interview is booked, and again when the offer is accepted, for the day before joining.
Silence is the early warning
Not Picked By Client lists calls that went out and never connected. In a recruitment desk, that is a list of candidates who have stopped answering — the no-show risk for tomorrow's interviews and next week's joinings, visible while there is still time to line up a backup candidate.
Never Attended covers the other gap: applicants imported on Monday that no recruiter has called at all. Both reports export to CSV with your on-screen filters applied.
Interview details travel better in writing. Call tracking for recruiters on their own phones
Most agencies do not issue phones. Recruiters call from their own Android handsets, and candidates save that number, so a callback days later reaches the right person. Calls go out on the recruiter's own SIM — no virtual numbers, no porting, no VoIP. Native dialler, contacts or inside Diallogs, each call is captured with the candidate, number, recruiter, duration, call type, timestamp, notes and tags.
Personal calls stay out. Per-SIM tracking means a recruiter with a dual-SIM phone can switch tracking off for their personal SIM and keep it on for the work SIM. That one setting tends to settle the "are you monitoring my phone?" conversation on day one.
Field drives still count. On a walk-in drive at a client site or a campus, mobile data is often patchy. Calls are logged offline and sync when the phone reconnects; calling itself needs only mobile signal.
