Patient call tracking CRM for clinics and hospitals

A treatment plan rarely ends in the clinic. It ends on a phone call that nobody made. Diallogs is a call tracking CRM for clinics and hospitals that logs every enquiry, appointment reminder and next-sitting call from your front-desk and staff Android phones — so a patient halfway through an implant or a physio course gets called back instead of quietly dropping off. From ₹125 per license per month for call tracking, ₹250 with lead management.

Continuity of care runs on the phone

In most Indian clinics the clinical work is well organised and the calling around it is not. The doctor's notes live in the practice software. The calls — the enquiry from last night's ad, the reminder before the second sitting, the “your report is ready” call — live in a front-desk register, a patient-relations executive's personal phone, and memory.

That split is where revenue and care leak at the same time. Take a dental chain selling implants. A patient enquires, consults, accepts a three-stage plan and has the first surgery. The second stage is due in about three months. By then the front-desk executive who booked them has moved branches, the reminder was in her phone, and the patient — who felt fine — never hears from the clinic. They do not complain. They just do not come back, and the plan that was accepted is never finished.

The same shape repeats across an IVF (fertility treatment) centre waiting on a patient to start a cycle, a physiotherapy centre running a ten-session course, or a hospital's health checkup desk chasing last year's patients for their annual package. A missed follow-up call is not an admin slip. It is a dropped treatment plan.

The patient journey, call by call

How a multi-specialty clinic would map its calling onto Diallogs — from the ad click to the repeat checkup. Illustrative, not a customer case study.

  1. 01

    Enquiry lands

A Meta lead ad for a dental implant consultation or a full-body checkup package drops straight into Diallogs through the lead ads connector, mapped to your fields. Phone enquiries to the front desk are logged as they ring. Each lead is assigned to the front desk and a counsellor together.

  2. 02

    First call back, fast

Treatment enquiries go cold within hours — the patient has usually filled three forms. The Never Attended report lists every enquiry nobody has called yet, so the morning starts with the gap, not the activity count.

  3. 03

    Consultation booked

Status moves to Consult booked, the next appointment date goes into a date field, and the reminder date is set for the day before, when the front desk makes the confirmation call.

  4. 04

    Visit and treatment plan

After the consultation the counsellor records the package, sets sittings planned — three for implants, ten for a physio course — and moves the status to Plan accepted. Clinical details stay in your practice software.

  5. 05

    Next sitting, every sitting

After each visit, sittings completed goes up by one and the reminder date moves to the next sitting. Anyone whose appointment date has passed while still marked In treatment is a plan about to drop.

  6. 06

    Report-ready and repeat checkups

Diagnostic desks log report-ready calls against the patient. For annual packages, the reminder date is set eleven months out on the day of the checkup, so next year's call is already scheduled.

Fields a clinic would actually set up

Diallogs custom fields are typed — dropdowns, numbers and dates are stored as such, so you can filter on them. This is the minimum scheduling record, and deliberately nothing more.

Statuses are yours too, each with its own colour: New enquiry, Consult booked, No show, Plan accepted, In treatment, Completed, Due for checkup. Existing patient lists come in by CSV with a validation preview, and duplicate matching on the phone number suffix means a list of bare ten-digit numbers still matches records saved with +91. It is the same clinic lead management model used by sales teams, pointed at appointments instead of deals.

Hospital call tracking at the front desk

The front-desk phone is the busiest line in the building. At 10 a.m. on a Monday it rings while the executive is registering a walk-in, and the call goes unanswered. On a normal phone that missed call is buried by lunchtime. With Diallogs on the front-desk Android handset, incoming and missed calls are logged automatically — filter Call History by Missed and the afternoon has a call-back list.

Patient-relations staff often call from their own phones. Per-SIM tracking handles that: on a dual-SIM phone, tracking stays off for the personal SIM and on for the work SIM, so only patient calls are captured. Calls go out on the executive's own number — no virtual numbers, no porting — which also means a patient sees the same number every time the clinic calls.

Two people can own one patient. Leads take multiple assignees, so the front desk handles reminders while the counsellor handles the treatment-plan conversation, and both see the full call history. When an executive leaves — common on hospital desks — a bulk reassign moves their patients in one step and the history stays on each record. Home-collection phlebotomists calling from basements and lift lobbies are covered too: calls log offline and sync when the phone reconnects. The mechanics are the same as any call tracking CRM rollout.

Treatment campaigns and the first-hour problem

Clinics now spend real money on Meta campaigns for implants, IVF consultations, hair transplants and health checkup packages. The connector lets you pick the page and form and map each form's questions to your fields, so a lead arrives already tagged with department and package. Telecallers then work their list from a telecalling dialer app on their own SIM — the auto dialler places one call after another while the telecaller speaks to each patient (no AI or recorded voice), so a morning's campaign enquiries get called without anyone typing numbers — and every attempt is logged against the enquiry.

A patient comparing IVF centres is not waiting for your call — they are booking whichever centre calls first. Never Attended lists enquiries no one has called even once. Not Picked By Client lists calls that went out and never connected, which for a working patient usually means try again after 6 p.m.

Check both before lunch and again before closing. Exports to CSV keep your on-screen filters, so a branch manager can send each desk only its own list.

Patient data: what not to store

Patient information is sensitive, and a calling tool should hold as little of it as possible. Diallogs is not an EMR, HIS or medical records system, and it makes no healthcare compliance guarantee.

Keep out of notes, tags and custom fields

  • Diagnoses, symptoms or the reason for the visit
  • Test results, report contents or scan findings
  • Medicines, prescriptions or procedure notes
  • Fertility, pregnancy or sexual-health details — even in a tag name
  • ID numbers such as Aadhaar
  • Anything a new front-desk hire should not read on day one

Enough to schedule the next call

  • Patient name and phone number
  • Department or speciality
  • Next appointment date and reminder date
  • Sittings planned and completed
  • Package name and enquiry source
  • A status such as Consult booked or In treatment

Consent and data handling stay with the clinic: what patients are told, who on staff can see which records, how long data is kept, and your obligations under India's Digital Personal Data Protection Act. Call recording is an optional add-on at ₹125 per GB per license, it depends on the handset, and recording patient calls deserves a deliberate decision with clear consent rather than a default switch. Many clinics will reasonably choose not to record at all.

How different practices would use it

Same product, different rhythm. A quick read of where the calling actually happens in each.

Dental chains

Implants, aligners and root canals run over several sittings. Sittings planned versus completed shows which plans stalled after the first visit.

IVF and fertility centres

Long gaps between consultation, tests and cycle start. Reminder dates keep counsellors calling on schedule — with clinical detail kept off the record.

Dermatology and aesthetics

Laser and hair-restoration packages sold in sessions. Package and source fields show which campaigns bring patients who finish the course.

Diagnostic labs

Home sample collection slots, address confirmations and report-ready calls, mostly made by phlebotomists and telecallers from their own phones.

Physiotherapy centres

Ten- and twenty-session courses where patients stop once the pain eases. A next-session reminder after every visit is most of the fix.

Hospital patient-relations desks

Health checkup packages, post-discharge follow-up calls and annual repeat reminders, shared between several executives and the marketing team.

These are illustrative workflows, not customer stories. Diallogs is used across distribution, retail, ed-tech and HR teams — book a demo and we will map it to your clinic's own patient journey.

What it costs a clinic

Priced per license, and a license is active on one phone at a time — so count phones, not people.

Free₹0per license / monthPersonal call log analytics
Basic₹125per license / monthCall tracking & monitoring
Basic with Leads₹250per license / monthAdds lead management
EnterpriseCustomDedicated manager & white-label

A clinic that only wants to see front-desk call volumes and missed calls can start on Basic at ₹125. The patient journey above — statuses, custom fields and reminder dates — needs Basic with Leads at ₹250 per license per month. A two-branch dental practice with one front-desk phone per branch and a counsellor would need three licenses. Yearly billing saves 7%, and the 30-day trial needs no credit card. Before a dropped plan costs you a patient, it is worth reading the real cost of a missed follow-up.

Common questions

What should a CRM for clinics and hospitals do with patient calls?

It should connect every call to the patient it was about — the first enquiry, the consultation booking, each follow-up and the next sitting — so nobody has to remember who was due a call. Diallogs captures calls from the clinic's own Android phones and SIMs, attaches them to a lead record with a status and a reminder date, and reports on enquiries nobody has called back. It is a calling and follow-up tool, not a medical records system.

Can Diallogs work as a patient follow-up calling app on our front-desk phone?

Yes, if the front-desk phone is an Android handset. Install Diallogs on it and every incoming, outgoing and missed call on that SIM is logged with time, duration and the staff member, then synced to the manager dashboard. Missed calls from patients show up in the Call History report, so they can be worked as a call-back list rather than lost in the phone's own log.

How do appointment reminder calls work in the CRM?

Each patient lead has a reminder date, and you can add a next appointment date field as a proper date. Staff filter for tomorrow's appointments each afternoon and make the confirmation calls from their own phone, and each call is logged against the patient. Diallogs does not place automated or recorded reminder calls — a person makes every call.

Is Diallogs suitable for diagnostic lab telecalling and home sample collection?

It fits the calling side well. A lab can push health checkup package enquiries from Meta lead ads into Diallogs, have telecallers book slots, and let phlebotomists confirm addresses from their own Android phones, with calls logged even on patchy networks and synced when signal returns. Report-ready calls can be tracked with a status and reminder date; the reports themselves stay in your lab system.

Is it safe to store patient information in Diallogs?

Diallogs is built for call tracking and lead follow-up, not as an EMR (electronic medical record), HIS (hospital information system) or other medical records system, and it makes no healthcare compliance guarantee. Clinics should store only what scheduling needs — name, phone, department, next appointment date — and keep diagnoses, test results and treatment details out of notes, tags and custom fields. Consent, recording decisions and obligations under India's Digital Personal Data Protection (DPDP) Act remain the clinic's responsibility.
