The gap between the CRM and the calls

Most telecalling teams end up running two systems that describe the same work and never quite agree. There is a CRM where lead status lives, updated by hand at the end of the day if anyone remembers. And there is the actual calling, which happens on thirty phones and leaves no trace in the CRM at all.

So a manager looking at a lead marked “follow-up scheduled” has no way to know whether anyone called, whether it connected, or whether that status has been stale for eleven days. The status is a claim, not a record.

Attrition on a calling floor is not an edge case, it is a monthly event. In most CRMs a lead has exactly one owner, so a resignation means opening leads one at a time and changing the name on each — which is why it usually does not get done properly, and why a departing rep's pipeline goes quiet for a fortnight.

You decide what happens to duplicates

At import time you pick one of three policies: skip rows that match an existing lead, create everything regardless, or update matched leads in place. The same choice is available when adding a single lead.

Matching is done on phone number suffix. A file full of bare ten-digit numbers still matches leads stored with a +91 prefix — which is the specific thing that silently duplicates half a database in most tools.

What to put in custom fields

The nine field types only earn their keep if you use them for the things you actually filter on. A few patterns from different kinds of calling team.

Loan and DSA teams

Loan amount (numeric), product type (dropdown), documents received (checkbox), disbursal target date (date). Filtering on amount and date turns a flat lead list into a priority order.

Admissions teams

Course of interest (dropdown), intake batch (dropdown), counselling session done (checkbox), fee deadline (date). The deadline field is what makes the difference between chasing and reacting.

Real estate

Budget band (dropdown), possession timeline (dropdown), site visit done (checkbox), preferred locality (text). Site-visit status is usually the strongest single predictor in the list.

Collections

Outstanding amount (numeric), promise-to-pay date (date), bucket (dropdown), last commitment (textarea). A typed promise-to-pay date is what allows an accurate daily call list.

Distribution and retail

Order frequency (dropdown), last order value (numeric), territory (dropdown), reorder due (date). Turns reactive order-taking into a scheduled call cycle.

A rule of thumb

If you will never filter, sort or report on a field, it belongs in notes rather than as its own field. Ten well-chosen fields beat thirty that nobody fills in consistently.

Migrating without a bad week

Switching lead systems has a predictable failure mode: everything moves at once, something is wrong, and the team loses a week of calling while it gets untangled.

Move one segment first. Not a random sample, but one complete, coherent slice such as a single territory or a single product line. You want a group where you would immediately notice if something looked wrong, because familiarity is what catches mapping errors that validation cannot.

Get statuses right before the second import. Set up your lead statuses to match your real process first. Importing into a default set and re-labelling later means touching every record twice, and bulk re-labelling is exactly where history gets muddled.

Import your active pipeline, archive the rest. Most teams carry years of dead leads they will never call. Bringing them across makes every report noisier and every list longer without adding a single conversation. If it has not been touched in twelve months, it can stay in the old system.

Use update-in-place for the second pass. If you are importing enriched data over leads that already exist, adding policy numbers or loan amounts to records already in the system, that is exactly what the update policy is for. Skip and create-anyway are the wrong choice there and produce either nothing or doubles.

Never Attended lists leads nobody has called even once. Not Picked By Client lists calls that went out and never connected. A lead nobody called does not show up on an activity report — it is invisible precisely because nothing happened to it.
