Call tracking CRM for travel agencies and tour operators

A holiday enquiry arrives with a departure date and two other agencies quoting against you. Diallogs is a CRM for travel agency teams that sell on the phone: travel agency call tracking on your agents' own Android phones and SIMs, every enquiry call logged against the lead, and every quote given a follow-up date before the travel date runs out. Call tracking from ₹125 per license per month; lead management from ₹250.

Every travel enquiry comes with an expiry date

A family of four in Pune fills in a form on a Thursday night: Kashmir, six nights, the last week of May, budget around ₹1.6 lakh. They fill in the same form for two other agencies that evening. Whoever calls back first with a sensible itinerary — houseboat night on Dal Lake included, the Gulmarg day trip priced in — gets the second conversation. Whoever calls back on Monday is calling someone who has already paid an advance elsewhere.

That is the shape of nearly every travel lead: date-bound and price-shopped. Unlike most sales leads, it has a hard expiry. Once the travel date passes, or the family books with someone else, it is worth nothing. The first callback matters, and so does the second: the revised quote after they ask you to drop the Pahalgam night and add Sonmarg.

The sale is not the end of the calling either. Before departure come the balance payment, visa paperwork and vouchers; after the trip, the feedback call, the referral ask and next season's repeat booking.

What a CRM for travel agency sales has to hold

A phone contact list has no idea when someone is travelling. These are the typed custom fields a travel desk would set up first.

  • Destination — a dropdown (Kashmir, Kerala, Goa, Rajasthan, Char Dham, Dubai, Thailand, Bali) so reports group cleanly instead of splitting across 'kashmir', 'Kashmir pkg' and 'Srinagar'
  • Travel date — a date picker, stored as a real date, so you can filter every enquiry departing in the next 30 days
  • Pax count (number of travellers) — numeric, so a 22-person yatra (pilgrimage tour) group sorts above a couple's weekend in Lonavala
  • Budget — numeric, in rupees, for sorting the open pipeline by value
  • Package type — a dropdown for honeymoon, family, group or corporate
  • Quotation sent — a checkbox, so nobody has to scroll through notes to find out

Lead statuses are yours to define, each with its own colour. A typical travel pipeline would read: Enquiry → Quote sent → Itinerary revised → Advance paid → Balance due → Travelled → Feedback. Each lead also carries a reminder date — the day to chase a quote, or the day the balance falls due — and an auto-incrementing lead code that is easy to read out on a call.

Last season's enquiries in Excel come in through CSV import, with duplicates matched on phone number whether or not they carry +91. More on travel lead management with Diallogs.

From enquiry to departure, call by call

How a package booking would move through Diallogs, from the first form fill to the post-trip feedback call.

  1. 01

    Enquiry lands

A Meta lead ad, website form or inbound call creates the lead, with destination, travel month and pax mapped into your fields.

  2. 02

    First callback

The agent calls from their own SIM; the call is logged against the lead automatically while they confirm dates, pax and budget.

  3. 03

    Quote sent, reminder set

The itinerary goes out on a WhatsApp template, the quotation-sent box is ticked, and a reminder is set for two days later.

  4. 04

    Itinerary revised

They want a different hotel in Munnar or one night fewer in Alleppey. The status moves, and every call stays on the lead.

  5. 05

    Advance paid, balance due

The reminder moves to the balance due date. Pre-departure calls cover the balance, passport copies, visas and pickup times.

  6. 06

    Travelled, then feedback

A feedback call after they return: would they refer a friend, and are they thinking about Thailand next Diwali?

The morning after a weekend of ad enquiries

Package campaigns on Facebook and Instagram collect most enquiries in the evenings and at weekends, when nobody is at the desk. The Meta lead ads connector lets you pick the page and form, then map each question to a field — “When are you planning to travel?” to travel date, “Number of travellers” to pax count.

First thing in the morning, each agent opens their assigned list of yesterday's enquiries and starts the auto dialler. It works through the list one call after another on the agent's own SIM, so nobody types numbers off a sheet, and the agent does the talking on every call — no AI or recorded voice. It dials one call at a time — it is not a predictive dialler. That rhythm is what a telecalling CRM is for, and it is why paid ad leads go cold when it is missing.

The Saturday enquiry nobody called

Never Attended lists every lead nobody has called even once. Run it at noon on Monday to find the Dubai family who filled the form at 11pm on Saturday and is now comparing quotes without yours.

Not Picked By Client lists calls that did not connect — the traveller who missed your 10am call and deserves another try at 7pm.

Season by season: where the calling effort goes

Travel demand in India moves with school holidays, festivals and long weekends. Filtering by travel date and status lets a desk follow it.

SeasonWho is enquiringCalling focus
January – MarchFamilies planning summer holidays, corporate offsite planners, early yatra groupsEarly quotes; filter April–June departures and chase every quote older than three days
April – JuneSchool-holiday families, hill stations, Kashmir, Char Dham yatra groups, EuropeBalance-due and pre-departure document calls; same-week enquiries called back within the hour
July – SeptemberMonsoon trips to Kerala and Goa, long-weekend breaks, early Diwali plannersPost-trip feedback and referral calls to summer travellers; first Diwali quotes
October – NovemberDiwali-leave families heading to Dubai, Thailand, Singapore and RajasthanShort booking windows, so revised itineraries go out the same day
DecemberChristmas–New Year travellers, Goa, wedding-season honeymoonersPeak inbound volume; check Never Attended daily and rebalance lists across agents
Long weekendsShort-break enquiries two to three weeks before the holidayVery short shelf life; sort by travel date and call the nearest departures first

“Everything departing in the next 21 days still at quote sent” is a filter, not an afternoon in a spreadsheet — and CSV export keeps that filter.

Itineraries on WhatsApp, calls on the agent's own number

Travellers want the itinerary in writing. Admins can create WhatsApp message templates — quote follow-up, balance reminder, pre-departure checklist — and agents send them from the Diallogs app. That is messaging, separate from call tracking. The calling plus WhatsApp follow-up workflow covers how the two fit together.

Plenty of travellers also call back on WhatsApp rather than on the phone line. Diallogs can track WhatsApp calls in the Android app once notification access is granted. An honest caveat: this depends on device permissions and notification access, and results vary by phone model and Android version, so verify it on the exact handsets your agents use before relying on it.

Regular calls go out on the agent's own SIM — no virtual number, no porting — so the customer saves the number they will ring to book Bali next year. That is how a call tracking CRM built on SIM calling works.

Recording, for the “you promised a sea-view room” call. Travel disputes often come down to what was said on the phone. The call recording add-on (₹125 per GB per license) stores recordings against the lead so a manager can check what was actually promised. Recording is handset-dependent, as some brands block it at system level, so test your phones first. Consent and compliance remain the agency's responsibility.

Peak season, measured per agent

Travel desks staff up for April and December, often with telecallers on short contracts. The Employee Performance report shows each agent's call activity side by side, so in the third week of December you can see who is overloaded and who has room for more enquiries. Managers see it on the web dashboard at app.diallogs.com.

When a seasonal agent leaves in January, their open enquiries move to someone else with a bulk reassign, and the call history stays on each lead. Leads can also have more than one assigned user — a sales agent who owns the quote and an operations executive who owns the visa documents can both work the same booking. That is how you stop lead leakage between stages.

Agents on personal dual-SIM phones can switch tracking off on the personal SIM. And an escort leading a group through Ladakh with patchy data still has calls logged offline, synced when the phone reconnects.

Is Diallogs the right fit for your travel desk?

Honest about both sides, so you can rule it in or out quickly.

  • Your agents sell packages over the phone on Android handsets
  • Enquiries come from Meta lead ads, website forms and inbound calls
  • You want quotes, balances and departures tracked against travel dates
  • You want agents to keep their own numbers, not a shared virtual line
  • Your team works on iPhones — Diallogs is Android only
  • You need IVR, call routing or a virtual number for inbound calls
  • You need a booking engine or inventory system — Diallogs handles calls and follow-up, not ticketing
  • You expect a prebuilt connector to another CRM — integration is through webhooks and the Partner API (an add-on on any plan)

For most travel desks the relevant plan is Basic with Leads at ₹250 per license per month — it adds lead management, which is where custom fields, statuses and reminder dates live. Basic at ₹125 covers call tracking and monitoring on its own. Yearly billing saves 7%, and a license is active on one phone at a time.

The workflows on this page describe how a travel team would use the product. Diallogs is used across distribution, retail, ed-tech and HR teams — book a demo and we will map it to your own enquiry-to-departure process.

Common questions

What should a CRM for a travel agency track?

A travel sales CRM needs to know when the customer is travelling, not just who they are. In Diallogs a travel desk would add custom fields for destination, travel date, pax count (number of travellers), budget, package type and whether a quotation has been sent, plus statuses running from enquiry to feedback. Travel date is stored as a real date, so agents can filter by upcoming departure.

Can a travel agent CRM in India work with agents' own mobile numbers?

Yes. Diallogs is an Android app that tracks calls made on each agent's own SIM and number, with no virtual numbers and no porting. Agents can dial from the phone's normal dialler, from contacts or from inside Diallogs, and every call is logged against the lead automatically.

How do tour operators manage leads from Facebook and Instagram package ads?

Diallogs has a Meta lead ads connector: you choose the Facebook page and lead form, then map each form's questions to your lead fields, such as travel month to the travel date field and number of travellers to pax count. Enquiries arrive as leads ready to call, so tour operator lead management starts with a callback rather than copying rows from a spreadsheet. The Never Attended report then shows any ad lead that nobody has called at all.

Is there a travel enquiry follow-up app that reminds agents to chase quotes and balance payments?

Every lead in Diallogs carries a reminder date, so an agent can set one for two days after sending a quote and another for the date the balance payment falls due. Custom statuses such as quote sent, advance paid and balance due show where each booking stands. Managers see the same pipeline on the web dashboard.

Does Diallogs suit holiday package telecalling teams that need an auto dialler?

Diallogs includes an auto dialler that works through an agent's assigned lead list one call after another on their own SIM, so nobody types numbers by hand. Your agent talks to the traveller on every call; the dialler only places the next call, with no AI or recorded voice. It is sequential, not a predictive or parallel dialler that rings several numbers at once. Call tracking starts at ₹125 per license per month, and lead management with custom fields and statuses is ₹250, with a 30-day free trial for up to 5 licenses and no credit card.
