B2B sales call tracking for IT companies and agencies

B2B sales call tracking for teams whose BDEs (business development executives) dial a company five, eight, ten times before anyone agrees to a meeting. Diallogs logs every attempt from your reps' own Android phones against the prospect account — founder, IT head and procurement included — so the account manager who inherits the deal sees exactly what was said. From ₹125 per license per month.

Cold calling a company is not the same as calling a person

Selling to consumers, one phone number is one buyer. Selling a cloud migration, a custom software build or a performance marketing retainer, one prospect is a company with three or four people who matter: the founder who signs, the IT head who evaluates, and the procurement or finance contact who drags the paperwork out past quarter-end. Each has their own number and their own reason to ignore you.

Most of those calls do not connect. Decision makers are in standups, on site visits, or simply do not pick up unknown numbers. A first meeting can easily take six to ten attempts spread over two or three weeks, across more than one contact. That is normal. What is not normal is losing track of which attempt you are on.

Then the deal changes hands. The BDE books the discovery call, an account manager runs it, someone else writes the proposal. Each handoff drops context — who the champion was, what the IT head objected to — and the prospect notices when they have to explain it all again.

What B2B sales call tracking has to do differently

Activity counts alone tell an outbound manager very little. The record has to be built around the account and the attempt history.

The base layer is automatic call logging: each call from the rep's phone is captured with contact, number, employee, duration, call type, timestamp, notes, tags and linked lead — whether they dial from the native dialler, from contacts, or inside Diallogs.

For a B2B outbound team, three things on top of that matter most. Calls go out from a real Indian mobile number, the BDE's own SIM, rather than an unfamiliar landline or VoIP number — which makes them more likely to be answered by a founder screening their phone between meetings. A lead can have more than one assigned user, so the BDE and the account manager both own the prospect at once instead of passing it like a baton. And the call history stays on the lead, so when a BDE moves on in appraisal season, their eight weeks of attempts do not leave with them.

Loading a prospect list without double-calling anyone

Outbound lists come from everywhere — lead databases, LinkedIn exports, event attendee lists, an old spreadsheet from the last BDE. Overlap is guaranteed.

CSV import runs in four steps: upload, map your columns to lead fields, check a validation preview, then import. At import you pick one of three duplicate policies — skip rows that match an existing lead, create them anyway, or update the matched lead with the new data.

Matching is on the phone number suffix. That sounds minor until you see what list data looks like: one source writes +91 98xxxxxxxx, another writes the same number as bare ten digits. Suffix matching treats both as the same prospect, so the founder of a Pune logistics company is not cold called by two BDEs in the same week — the fastest way to look disorganised to someone you want to sell to. If one BDE ends up overloaded, a bulk reassign rebalances the list in one operation.

Custom fields for the way B2B deals are qualified

Lead records start with name, email, phone, tags, notes, a lead code, status and reminder date. Custom fields carry the rest, stored as typed values you can filter on.

Company name

A text field, so three contacts at the same prospect can be filtered together when you review an account.

Website

A website field type. The BDE checks what the company actually sells before dialling, instead of guessing from the name.

Company size

A dropdown — 1–10, 11–50, 51–200, 200+ — so a SaaS team can keep its best callers on the segment that converts.

Deal value

A numeric field, stored as a number. Sort the negotiation stage by value and spend Friday afternoon on the deals that matter.

Decision maker role

A dropdown: founder, CTO or IT head, marketing head, procurement, finance. Tells the next caller whether they are talking to the signer or the gatekeeper.

Meeting date

A date picker, stored as a real date. Filter for every meeting booked this week and check none is left without a confirmation call.

A pipeline from researched to won, and where each stage shows up

Lead statuses are fully custom, each with its own colour. A typical outbound pipeline, and the report that keeps each stage honest:

StatusWhat it meansWhere a manager checks it
ResearchedOn the list, contacts verified, not yet dialledNever Attended — leads nobody has called
AttemptedDialled at least once, no conversation yetNot Picked By Client — calls that didn't connect
ConnectedSpoke to someone, qualification under wayCall History, filtered by status
Meeting bookedDiscovery call or demo on the calendarMeeting date field, filtered to this week
Proposal sentAccount manager has sent scope and pricingClient Performance — calls per account
NegotiationCommercials and procurement in progressDeal value field, sorted high to low
Won / LostClosed either way, with the reason in notesSummary, exported to CSV

Exports respect whatever filters are on screen, so the CSV that goes into your Monday review is exactly the slice you were looking at. For what a manager should actually look at each morning, see building a daily sales dashboard managers trust.

A cold-calling cadence for a BDE team

An illustrative week for an IT services or agency outbound team. Your cadence will differ; the mechanics are the same.

  1. 01

    Morning calling block

10 to 12, phones on, no email. The auto dialler works through the BDE's assigned list one call after another on their own SIM, so nobody types numbers, and the BDE does all the talking — no AI or recorded voice. It is sequential, not predictive.

  2. 02

Log the outcome on the spot

After each call: a note, a tag, a status change. 'Spoke to IT head, evaluating in Q4, wants case study' takes ten seconds and saves the next caller a wasted conversation.

  3. 03

Plan re-attempts from what didn't connect

Not Picked By Client lists calls that went out and never connected. Use it to schedule the second, third and fourth attempts at a different time of day, or to try a different contact at the same company.

  4. 04

Book the meeting, set the date

When a prospect agrees, the status moves to Meeting booked, the meeting date goes in the date field, and a reminder date is set for the confirmation call the day before.

  5. 05

    Hand off without a handoff

Add the account manager as a second assigned user. They see every attempt, note and tag the BDE logged — the prospect does not have to repeat their requirements on the discovery call.

  6. 06

    Review activity on Friday

Employee Performance shows dials, connects and talk time per rep. Read it alongside meetings booked; a rep with fewer dials and more meetings is doing something worth copying.

Diallogs is also a telecalling dialer app for high-volume consumer teams; the B2B version of the workflow simply runs fewer calls with more context on each. For reviewing those calls at volume, read how to review and track sales calls at scale.

Already running a CRM? Keep it

Many SaaS and IT services firms already keep deals and quotes in a CRM. Diallogs does not need to replace it. If you already run a CRM, push call events to it via webhooks or the Partner API, available as an add-on on any plan; there are no one-click connectors. A developer maps the call payload — number, employee, duration, call type, timestamp, linked lead — into your system once, and every call your BDEs make from their phones arrives there.

You can run Diallogs as the calling layer beside your existing deal system, or use Diallogs' own lead management end to end. Either works.

For BDEs carrying one phone, tracking is controlled per SIM: a dual-SIM rep turns tracking off on their personal number and leaves it on for the work SIM. Calls log offline and sync when the phone reconnects, which helps on the commute between client offices.

What it costs a BDE team

Priced per license per month. A license is active on one phone at a time.

Free₹0per license / monthPersonal call log analytics
Basic₹125per license / monthCall tracking & monitoring
Basic with Leads₹250per license / monthAdds lead management
EnterpriseCustomDedicated manager & white-label

Basic at ₹125 covers call tracking and monitoring. Most of this page — prospect lists, typed custom fields, the status pipeline, multiple assigned users — is lead management, which is Basic with Leads at ₹250. API and webhook access is an add-on you can buy on any plan, as are call recording and AI Insights. Yearly billing saves 7%. Where it fits, and where it doesn't

Better to know before the trial than after it.

A good fit if
  • Your BDEs or SDRs cold call Indian prospects from Android phones
  • You want calls to come from real mobile numbers, not a shared landline
  • Deals pass from BDE to account manager and context keeps getting lost
  • You import prospect lists regularly and keep hitting duplicates
  • You already have a CRM and just need call data flowing into it
Not the right tool if
  • Your team calls primarily from laptops or softphones
  • You dial US or other overseas prospects and need local virtual numbers
  • Your reps use iPhones — Diallogs is Android only
  • You need predictive or parallel dialling across many lines at once

The workflows on this page are illustrative of how an IT, SaaS or agency outbound team would use the product. Diallogs is used across distribution, retail, ed-tech and HR teams — book a demo and we will map it to your sales motion.

Common questions

What is B2B sales call tracking?

B2B sales call tracking logs every outbound and inbound call your business development team makes to prospect companies and attaches it to the right account and contact. Because B2B deals involve several people at one company and many attempts before a meeting, the useful record is the full history per account, not a list of individual dials. Diallogs captures these calls automatically from each rep's Android phone and SIM.

Is Diallogs a good cold calling CRM for IT companies and agencies?

It fits IT services firms, SaaS companies and digital agencies whose BDEs (business development executives) cold call Indian prospects from Android phones. Reps work through a researched prospect list with the auto dialler, every attempt is logged against the lead, and custom fields hold company size, deal value, decision maker role and meeting date. It is not a fit for teams that call from laptops or softphones, or that dial overseas prospects on local virtual numbers.

Can an SDR call tracking app stop two BDEs calling the same prospect?

Diallogs handles this at import. When you upload a CSV of prospects, you choose whether rows matching an existing lead are skipped, created anyway, or used to update the existing lead. Matching uses the phone number suffix, so a number stored with +91 still matches the same number written as ten bare digits in a new list.

Does Diallogs integrate with the CRM our SaaS sales team already uses?

Diallogs can push call events to your existing CRM or internal tools through outbound webhooks and the Partner API — available as an add-on on any plan, no Enterprise plan needed — but there are no one-click connectors for named CRMs. Someone on your side, or a developer you work with, maps the webhook payload into your system. The prebuilt connectors are for lead sources: Meta lead ads and Google Sheets.

How much does an outbound calling CRM cost in India with Diallogs?

Basic call tracking and monitoring is ₹125 per license per month. Lead management — prospect lists, custom fields, custom statuses and multi-user assignment — is in Basic with Leads at ₹250 per license per month. Yearly billing saves 7%, a license is active on one phone at a time, and there is a 30-day free trial for up to 5 licenses with no credit card.
