Admission counselling CRM for ed-tech and coaching teams

An admission lead is only worth something until the batch starts. Diallogs is an admission counselling CRM that runs on your counsellors' own Android phones: every call to a student or parent is captured, every enquiry carries its demo and batch dates, and the admissions head can see who is close to enrolling before the intake closes. From ₹125 per license per month.

An admission lead has an expiry date

Most sales leads go cold slowly. Admission leads go cold on a specific day. A student preparing for JEE 2028 (the engineering entrance exam) who enquires in March is a live lead until your April batch starts — and after that, unless you run a late batch, they are a lead for next year's cycle. A study-abroad enquiry for the September intake is worth chasing in May and worthless in October. Universities, skilling programmes and coaching institutes all work to the same clock: an intake deadline that does not move because your counsellors are busy.

That makes admissions work bursty. A few weeks after board results or a big campaign launch, enquiries arrive faster than counsellors can call them. Then, around the batch start date, the pressure drops sharply and half the pipeline quietly becomes "next intake". A CRM for this business has to know about those dates, not just about names and numbers.

Ed-tech and admissions teams use Diallogs for exactly this calling-heavy stretch. It is the same telecalling dialer app other industries use, set up around the admission calendar.

The student fills the form. The parent pays.

Admissions is one of the few sales processes with two decision makers on every lead — and they are usually not the same person who picks up.

A Class 11 student taps an Instagram ad for a NEET foundation course and fills in the form with their own number. The counsellor calls, has a perfectly good conversation, and gets nowhere — because the student cannot commit to a ₹1.2 lakh programme. The person who can is a parent who has not been spoken to yet, is at work during the day, and has questions about faculty, results, hostel and fee EMIs (monthly instalments) that the student never thought to ask.

So a real counselling cycle looks like this: reach the student, get the parent's number, book a counselling session or a demo class the parent can attend, answer the fee and instalment questions, and close before the batch fills or starts. Every one of those steps is a call, and every call can slip between counsellors if the record only holds one phone number.

In Diallogs, the parent lives on the same lead as the student. Add parent name and parent phone as custom fields, and the counsellor sees both before dialling. The status shows whether the family has had counselling, attended a demo or discussed fees — not just whether "the lead" was contacted.

Setting up an admission counselling CRM in one afternoon

The configuration an admissions team typically does before the first campaign goes live. None of it needs a developer.

  1. 01

    Connect your Meta lead forms

Admission campaigns run heavily on Facebook and Instagram. The Meta lead ads connector lets you pick the page and form and map each form question to a lead field, so a new enquiry becomes an assignable lead instead of a row in a sheet someone downloads at 6 pm.

  2. 02

Add the fields counsellors actually ask about

Course as a dropdown, class or grade, exam target year as a number, parent name and parent phone as text, city, demo class date and batch start date as date pickers, and counselling mode as a radio choice between online and centre. Typed fields mean you can filter for every 2027 aspirant whose batch starts this month.

  3. 03

    Define the admission stages

Statuses are yours to name and colour. A common set: enquiry, contacted, counselling done, demo attended, fee discussed, then enrolled or next intake. Next intake is the honest status for a lead that is not lost, just early.

  4. 04

    Import last cycle's enquiries

Bring in old leads with CSV import: upload, map columns, check the validation preview, import. Choose whether duplicates are skipped, created anyway or updated, with matching on the last digits of the phone number, so +91 numbers and bare 10-digit numbers still match.

Once leads are in, the lead management CRM side handles assignment, reminder dates and the auto-incrementing lead code your front desk can quote back to a parent who walks into the centre.

Reminder dates that work backwards from the batch start

Every lead has a reminder date, and in admissions it should be set relative to the batch, not relative to today. If the batch starts on 1 June and the parent asked for a callback "after salary credit", the reminder goes on the 1st or 2nd of May — not "in a few weeks", which lands after the seats are gone.

A simple rule many coaching teams follow: no lead in counselling done or demo attended should have a reminder date later than seven days before batch start. Because batch start date is a real date field, the admissions head can filter for leads whose batch begins in the next fortnight and whose status is still short of fee discussed. That list is the week's priority, and it is usually shorter and more valuable than the full enquiry pile.

For counsellors who need to send batch timings or a fee structure after the call, WhatsApp message templates created by an admin can be sent from the Diallogs app — so the details a parent receives match what the institute has actually approved.

What to watch in each phase of the admission season

The reports do not change through the year. What the admissions head should look at in them does.

Season phaseWhat to watchWhere to look
Campaign launchAre new Meta enquiries being called the same day, or piling up unassigned?Never Attended, filtered to this week's leads
Peak enquiry weeksCalls that went out but never connected — the student comparing four institutesNot Picked By Client

Every CSV export respects the filters on screen, so the sheet you send to the director on Monday is exactly the view you were looking at. For more on why the first hours after an ad enquiry matter so much, read why paid ad leads go cold.

Peak season: extra counsellors and the student who filled four forms

In the busiest weeks a lot of institutes bring in temporary counsellors — interns, centre staff moved onto the phones, or freelancers paid per enrolment. Because Diallogs uses each person's own Android phone and SIM, there are no new numbers to buy and no hardware to hand out. A license is active on one phone at a time and can be moved between phones, so the same license can follow a role from one counsellor to the next. Counsellors with dual-SIM phones can turn tracking off on their personal SIM and keep it on for the work SIM.

Volume is the other peak-season problem. The auto dialler works through a counsellor's assigned enquiry list one call after another on their own SIM, so nobody loses minutes copying numbers between a spreadsheet and the phone. It is sequential, not predictive — every call is a real conversation between the counsellor and the parent or student, with no AI or recorded voice, from the counsellor's number, logged against the lead the moment it ends.

Getting new counsellors productive fast matters more than usual here, because a slow first week is a third of the season. We have written separately about onboarding and training telecallers faster.

The lead who filled four forms

A student who enquires with you has often enquired with three other institutes the same evening. Whoever reaches the parent first usually gets the counselling session. Your first call goes unanswered, the counsellor moves on to the next fifty leads, and the second attempt never happens.

Not Picked By Client lists exactly those calls — attempted, not connected. During peak weeks it is the list worth working every afternoon, before the competitor's counsellor gets through.

When the season ends and temporary counsellors leave, bulk reassign moves their leads to the permanent team in one operation. Call history stays on each lead, so whoever picks up a next-intake student in November can see what was discussed in April.

Reviewing counselling calls in Hindi, English and Hinglish

A counselling call is where enrolments are won or lost, and most of them happen in a mix of languages — English for the course names, Hindi or Hinglish for everything the parent actually worries about. With the call recording add-on (₹125 per GB per license), calls are stored against the lead. The AI Insights add-on (₹900 per employee for 300 minutes) then produces a 5–7 line summary, 5–7 action points and a sentiment read for each recorded call, in Hindi, English or Hinglish.

For an admissions head that means checking whether a counsellor explained the EMI option, booked the demo, or promised a scholarship they cannot offer — without listening to forty minutes of audio. The fields an insight pulls out can be configured with our support team, so "parent concern" or "exam target" can be part of the summary.

Two honest limits. Recording depends on the handset: some phone brands block it at system level, so test the exact models your counsellors carry first. And recording consent is the institute's responsibility, not something the software handles for you. The per-counsellor numbers themselves come from counsellor performance tracking, which does not need recording at all.

Is Diallogs a fit for your admissions team?

It suits teams whose admissions happen over the phone. It is not a full student information system.

  • Counsellors call students and parents from Android phones
  • Enquiries arrive from Meta lead ads, website forms or walk-in registers
  • Admissions run to batch start dates or intake deadlines
  • You add temporary counsellors in peak season
  • You want per-counsellor reports without buying virtual numbers
  • Counsellors on iPhones — Diallogs is Android only
  • You need IVR, call routing or a shared helpline number
  • You want fee collection, timetables or attendance in the same tool
  • You need a ready-made connector to another CRM — integration is via webhooks and the Partner API (an add-on on any plan)

Common questions

What is an admission counselling CRM?

An admission counselling CRM is a system that tracks every student enquiry from the first form fill to enrolment, including each counselling call, demo class and fee conversation. Diallogs does this from counsellors' own Android phones: every call is captured automatically and attached to the student's lead, along with the parent's details, course, target exam year and batch start date.

Can an edtech telecalling CRM pull in leads from our Meta admission campaigns?

Yes. Diallogs has a Meta lead ads connector for Facebook and Instagram, where you select the page and form and map each form field to a lead field. Enquiries from admission campaigns land as leads ready to be assigned, so counsellors are not waiting on someone to download and upload a sheet. Leads from other sources can come in through CSV import, webhooks or the Partner API.

How does a coaching institute CRM handle parents as well as students?

In Diallogs you add custom fields for parent name and parent phone alongside the student's own details, so the counsellor sees both numbers on one lead. Statuses such as counselling done, demo attended and fee discussed track where the family as a whole stands. Every call made from Diallogs to that lead, with notes and tags, stays on the same record, so the next counsellor knows whether the parent has been reached.

Is there a student enquiry follow-up app that works for seasonal counsellors?

Diallogs runs on each counsellor's Android phone and uses their own SIM, so a temporary counsellor hired for peak season only needs the app and a license. A license is active on one phone at a time and can be moved between phones, and leads can be bulk reassigned when a counsellor leaves, with call history staying on each lead. Pricing starts at ₹125 per license per month, with lead management on the ₹250 Basic with Leads plan.

How do admissions heads do counsellor performance tracking?

The Employee Performance report shows call activity per counsellor, and the Summary report gives the admissions head a team-level view from the web dashboard at app.diallogs.com. Never Attended and Not Picked By Client show the enquiries nobody called and the calls that did not connect. With the recording and AI Insights add-ons, counselling calls can also be summarised in Hindi, English or Hinglish, subject to handset support for recording.
